# Everything

View and manage all your work items in one place.

The **Everything** page provides a centralized view of all the items in your workspace, spanning teams, projects, and workflows. Use it to locate specific stories, bugs, or epics using search and filters, monitor progress across teams, and customize views to suit your needs.

The page title displays the total number of items in your workspace and the number currently visible based on filters and search criteria. For example, '215/400' indicates that 215 of the 400 items in your workspace are displayed in the list.

Items on private team backlogs you're not a member of are included, with their titles hidden. You can't open these items, but you can see details such as their ID, team, and workflow step.

<br />

# Filter the list

Find items that match specific criteria by applying one or more filters. For example, you could filter for stories from a specific product theme that are done.

1. Use the icons at the top of the table to choose whether to show **Stories**, **Epics**, **Bugs**, or a combination. At least one must be selected to display any items.
2. Click the **filter** (funnel) icon at the top of the table.
3. Select a filter and fill in any required details.
4. Click **Apply**.
5. Repeat steps 2-4 to add additional filters as needed.

The list updates to display only items matching criteria from all filters.

For multi-select filters, items matching any of the selected values are included. For example, using the **Workflow step** filter to view items in **To do** and **Design** includes items in either step.

<br />

## Available filters

Filters refine the list to display items matching specific criteria.

\*When using the **Created**, **Last updated**, or **Completed** filters, you can specify absolute or relative date ranges and include the time of day to narrow your search further. For details, see [Filtering by date and time](https://docs.atono.io/docs/everything#filtering-by-date-and-time).

<br />

### Understanding the Workflow step filter

The **Workflow step** filter helps you narrow down items based on their current workflows step. Steps are organized by [category](https://docs.atono.io/docs/workflows#workflow-categories)—**To do**, **In progress**, **Done**, and **Won't do**—to reflect how work progresses through workflows.

**How it works**

* **Step organization**: Workflow steps are grouped by category, but since workflows are customizable, steps with the same name may appear in different categories. For example, one team might categorize 'Stakeholder Review' as **In progress**, while another team categorizes it as **Done**. Step names are deduplicated within each category, but not across categories.

<Image src="https://files.readme.io/148cf784d7bcaf6aa5a7691b87d01f9c82cf3f9b14d1732f052b1e88788a907f-workflow-step-filter.png" align="center" width="350px" />

* **Selecting steps**: You can select individual steps within a category or choose **Select all** to include all steps in a category. When all steps in a category are selected, the filter displays 'All steps in '\[name]' category' instead of listing each step individually.
* **Clearing steps**: To remove individual steps from the filter, deselect them in the list. If you chose to select all steps in a category, you can click **Clear selected** to remove them all from that category.

<br />

### Understanding the Tag filter

The **Tag** filter helps you find items based on the tags applied to them. You can include or exclude specific key:value pairs, or any value for a key.

<Image src="https://files.readme.io/a2e34b67ea20b05471626571213c793be7fdfdb1ee452c0ed720e6b4364bc7a0-tag-filter.png" align="center" width="350px" />

**How it works**

* **Including tags**: Select **Including tag**, then select one or more values. Items that have at least one of the selected key:value pairs are included. For example, selecting `Component: delivery` and `Order-stage: browsing` returns items with either tag.
* **Excluding tags**: Select **Excluding tag**, then select one or more values. Items that have any of the selected key:value pairs are excluded. For example, selecting `Component: delivery` and `Order-stage: browsing` returns only items that have neither tag.
* **Selecting all values**: Click **Select all** for a key to match any value for that key. The applied filter displays `Any value in '[key]'`.
* **Clearing values**: Deselect individual values to remove them from the filter. If you selected all values for a key, click **Clear selected** to clear them.
* **Combining filters**: Other filters further narrow the results. For example, adding `Team: Delivery team` limits the results to matching items assigned to the 'Delivery team'.

<br />

### What counts as an update?

The **Last updated** column reflects changes to an item's properties. Updates include:

* Title
* Backlog position (for example, reordering in list or board view)
* Assignee
* Description and ACs
* Associated feature flags
* Team
* Risk rating
* Size
* Workflow step
* Timebox
* Product theme

<br />

### Filtering by date and time

Use the **Created**, **Last updated**, and **Completed** filters to find items within a specific date or time range. You can define an exact date range or choose a relative timeframe such as `Today` or `Last week`.

All dates and times are interpreted in your local timezone, as detected by your browser.

<br />

**Date range**

Choose **Date range** to specify exact start and end dates. Each date field includes a calendar picker where you can select days, and if needed, adjust the times.

The default start and end times are 12:00 AM (start of the selected Start date) and 11:59 PM (end of the selected End date). You can adjust these values to include specific hours and minutes for greater precision.

To create an open-ended range, select **No start date** or **No end date**. For example, choosing *No start date* and an end date of *June 26, 2025* includes all items created *on or before* that date.

When a date range is applied, it appears in the filter pill. For example:

* `Created: May 26, 2025 - June 26, 2025`
* `Last updated: May 26, 2025 (1:00 PM) - June 26, 2025 (4:59 PM)`
* `Completed: May 26, 2025 - No end date`
* `Completed: No start date - June 26, 2025`

<br />

**Relative timeframes**

Instead of specific dates, you can choose from preset relative options.

*Less than / More than n days ago*

These filters compare item timestamps relative to the start of the current day (12:00 AM) in your local time zone—not the exact current time. For example:

* `Less than 3 days` ago includes items from 12:00 AM three days ago up to now. Today counts as one of those days.
  * If it's 10:00 AM on June 10, this filter includes everything from June 8 12:00 AM to June 10, 10:00 AM.
* `More than 3 days` ago includes items created before the start of that day.
  * If it's 10:00 AM on June 10, this filter includes everything created before June 8, 12:00 AM.

*Calendar-based timeframes*

Use these options to quickly filter by standard calendar periods such as `Today`, `Yesterday`, `This week`, `Last week`, `This month`, or `Last month`.

These filters are based on calendar boundaries in your local time zone, not on relative day or hour counts. For example:

* `Today`: 12:00 AM today up to the current time.
* `Yesterday`: 12:00 AM to 11:59 PM of the previous day.
* `This week`: Monday 12:00 AM up to the current time.
* `Last week`: Monday 12:00 AM to Sunday 11:59 PM of the previous week.
* `This month`: 12:00 AM on the 1st day of the current calendar month to the current time.
* `Last month`: 12:00 AM on the 1st day to 11:59 PM on the last day of the previous calendar month.

Calendar-based filters always align with standard calendar boundaries (weeks run Monday—Sunday, months follow full calendar months). The range for "this" periods updates dynamically as time progresses.

  ### Time zone behavior

  Relative filters use the local time zone of the person viewing the results. If a saved or shared view includes a relative filter, each viewer sees results based on their own time zone. This ensures filters align with each user's local calendar boundaries and working hours, but may lead to minor differences in included items between users in different time zones.

### Understanding workflow icons and colors

Workflow step icons use both shape and color to show where an item is in its workflow.

**Icon shape** indicates the workflow type:

* **Light bulb** — Story refinement
* **Bug** — Bug triage
* **Circle** — Team workflow

**Icon color** indicates the step within that workflow.

Items in Story refinement and Bug triage use predefined steps. Team workflows are customizable and always use colored circle icons.

# Bulk actions

The Everything page supports several bulk actions so you can act on many selected items at once instead of updating them one by one. Select one or more rows using the checkboxes, then choose an action from the toolbar that appears.

For items on private team backlogs you're not a member of, you can add and remove tags, but other bulk actions aren't available.

<br />

## Add items to a timebox

Group multiple items into a timebox directly from the Everything page.

This is especially helpful when you've filtered or searched for specific items, such as all the stories within a [product theme](https://docs.atono.io/docs/product-themes), across different workflows and want to group them for prioritization or delivery.

1. Use filters to narrow your search.
2. Hover over the item you want to add to a timebox.
3. Select the checkbox at the start of the row.
4. Select additional items or use the checkbox in the table header to select all items (available for lists of 200 or fewer items).
5. Click the **Add to timebox** icon.

<Image src="https://files.readme.io/d5762cb82901292386ed0ef93c8f9f493f5222a6667f21d3a8a6df8d507bc32d-add-to-timebox.png" width="50px" />

6. In the **Add to timebox dialog**, search for or select a timebox, and then click **Add to timebox**.

If an item is already in a timebox, you'll receive a warning before switching it to a different one.

## Add stories to a product theme

Bulk add stories to a product theme directly from the Everything page.

This is helpful when you're organizing related scope—such as stories that support the same feature area or initiative—and want to review, plan, or measure that work together. Bulk adding lets you group those stories quickly, even when they span different teams and workflow steps.

1. Use filters to narrow your search.
2. Hover over the story you want to add to a product theme.
3. Select the checkbox at the start of the row.
4. Select additional stories or use the checkbox in the table header to select all items (available for lists of 200 or fewer items).
5. Click the **Add to product theme** icon.

<Image src="https://files.readme.io/5b41df56a41b338300790c91063066402d11bd4b6720c82a6a874fef09e91e23-add-to-product-theme.png" align="left" width="50px" wrap={false} />

6. In the **Add to product theme dialog**, search for or select a product theme, and then click **Add to product theme**.

If a story is already in a product, you'll receive a warning about changing the product theme before switching it to a different one.

<br />

## Add stories to an epic

Bulk add stories to an epic directly from the Everything page.

This is helpful when a set of stories already contributes to the same initiative (work that shares a common goal or user outcome) and you want to bring them under one epic to track progress and see how the pieces fit together, without adding each story one by one.

1. Use filters to narrow your search.

2. Hover over the story you want to add to an epic.

3. Select the checkbox at the start of the row.

4. Select additional stories or use the checkbox in the table header to select all items (available for lists of 100 or fewer items).

5. Click the **Add to epic** icon.

<Image src="https://files.readme.io/c6f3255c295fd4c1f6a5cd33c94e3992888896ba9ebdae4d6b14a98b15fbbb98-add-to-epic.png" width="50px" />

6. In the **Add to epic** dialog, search for or select an epic, and then click **Add to epic**.

This action is only available when your selection contains stories only—bugs and epics can't be assigned to an epic.

If a story is already assigned to a different epic, you'll receive a warning that it will be moved before you confirm.

Epics can hold up to 100 stories. If your selection would push the epic past that limit, you'll see an error telling you how many more stories can be added, or that the epic has already reached its 100-story limit.

## Add tags to items

Add the same tag to multiple stories, bugs, and epics directly from the Everything page.

This is helpful when you want to categorize related work consistently, even when the items span different teams, workflows, or item types.

1. Use filters to narrow your search.
2. Hover over the item you want to tag.
3. Select the checkbox at the start of the row.
4. Select additional items or use the checkbox in the table header to select all items.
5. Click the **Add tag** icon.

<Image src="https://files.readme.io/96052fab9dd07a0ea23a15fc4c6fcb658f0b2879cf761b9e3be367c3a45ea390-add-tag.png" width="50px" />

6. Search for or select a key and value.
7. Click **Add tag**.

<br />

## Remove tags from items

Remove tags from multiple stories, bugs, and epics directly from the Everything page.

You can remove a specific tag, all tags with a particular key, or all tags from the selected items.

1. Use filters to narrow your search.
2. Hover over the item you want to untag.
3. Select the checkbox at the start of the row.
4. Select additional items or use the checkbox in the table header to select all items.
5. Click the **Remove tag** icon.

<Image src="https://files.readme.io/e5b5698d630690463e331b30b88885484fc9cd6eac93844db375233de6ffd529-untag-icon.png" width="50px" />

6. Search for or select the tag you want to remove:
7. Select a key and value to remove a specific tag, for example, `Component: delivery`.
8. Select **All values** for a key to remove all tags with that key, for example `Component: All values (2)`).
9. Select **Remove all tags** to remove all tags from the selected items.
10. Click **Remove tag** or **Remove tags**, depending on your selection.
